We are a small team of 19 people working remotely from around the world. We are currently looking for a Senior Executive Assistant to manage the company's virtual office and collaborate with the Management Board.
Note:
The conversation will be conducted in Polish and English.
You will be working with a team in Europe and central Africa. We work synchronously, so a minimum 4h overlap with UTC +1 is necessary regardless of where you live.
Who we’re looking for:
This role will have a broad perspective on the company's day-to-day operations, be able to locate necessary documents quickly and remind others about required formalities. It will comprehensively manage the virtual office, efficiently coordinating its spaces, prioritizing tasks, and making decisions as independently as possible.
You’re a perfect match if:
- You have great communication skills and you communicate fluently in English (C1 is expected) and Polish (C1)
- Your higher education is in a related subject (e.g. Business Administration, Management)
- You have minimum 4 years of experience in a similar role
- You have experience in multinational environments
- You have fully remote work skills (communication verbal and written, GTD, organizational and coordination skills, prioritization, attention to detail, etc.)
- You have problem-solving and decision-making skills
Bonus points if:
- You have MBA
- You have knowledge of corporate law in Poland
- You have a business experience
In this role, you will:
- Cooperate with the Management Board and CEO:
- Prepare resolutions and other documents, review and edit them, consult with a lawyer, and manage their storage and access
- Organize Board and Shareholders remote meetings
- Ensure the proper (legal) form of the Board/Shareholder meetings and approval of resolutions
- Manage the remote voting tool and participate in the Shareholders' Meetings
- Oversee the signing process for documents (primarily remote signatures)
- Attend meetings, take detailed notes and blog posts (in English)
- Prepare presentations (including gathring data)
- Communicate daily with the Management Board and CEO
- Manage the Virtual Office:
- Prepare, create, and edit documents
- Collaborate with a lawyer to prepare appropriate contracts and documents
- Manage Autenti and ensure documents are signed
- Prepare notes, statements, and letters of intent
- Develop procedures related to processes and office management summaries
- Identify solutions to meet organizational needs (research, compare offers, prepare summaries, contact potential contractors and place orders)
- Manage Settlements, Prepare Payments, and Collaborate with the Accounting Office:
- Be the first point of contact
- Process invoices and prepare payments
- Work closely with the accountant
- Prepare documents for financial audits
- Cooperate with Banks:
- Work with banks and manage bank accounts, including preparing applications and documents and maintaining communication with bank representatives
- Manage company bank cards
- Cooperate with the Budget Modeling Company:
- Send documents and provide data
- Support collaboration between the budget modeling company and the accounting office
- Attend meetings
- Support budget planning
